STUDENT ADVISING DIRECTIVE

PART ONE
Introductory Provisions
Purpose
ARTICLE 1- (1) The purpose of this Directive is to regulate the principles concerning the fields of activity, operation, governing bodies and duties of all student advising services to be provided to the students of Istanbul Sabahattin Zaim University.
Scope
ARTICLE 2- (1) This Directive covers all student advising services to be provided to the students of Istanbul Sabahattin Zaim University and all the implementation principles of these services.
Basis
ARTICLE 3- (1) This Directive has been prepared on the basis of subparagraph (c) of Article 22 and Article 14 of Law No. 2547 and the relevant articles of the Istanbul Sabahattin Zaim University Undergraduate Education and Instruction Regulation.
Definitions
ARTICLE 4- (1) In this Directive,
a) Advisor: refers to the members of the teaching staff appointed by the relevant department/program chair from among the teaching staff of the department/program (to be selected primarily from among faculty members and lecturers),
b) Department/Program: refers to the faculties/schools and departments/programs of Istanbul Sabahattin Zaim University,
c) Department/Program Chair: refers to the chairs of the departments/programs of the faculties/schools of Istanbul Sabahattin Zaim University,
ç) Board of Advisors: refers to the board composed of the advisors in the department, chaired by the department chair,
d) Dean/Director: refers to the deans of the faculties and the directors of the schools of Istanbul Sabahattin Zaim University,
e) Faculty/school: refers to the faculties and schools of Istanbul Sabahattin Zaim University,
f) Student: refers to the students covered by the Istanbul Sabahattin Zaim University Undergraduate Education and Instruction Regulation,
g) Rectorate: refers to the Rectorate of Istanbul Sabahattin Zaim University,
h) Senate: refers to the Senate of Istanbul Sabahattin Zaim University,
i) University: refers to Istanbul Sabahattin Zaim University,
j) Directive: refers to the Student Advising Directive.
The above terms shall have the meanings set out herein.
PART TWO
Provision of Advising Services
Definition of Student Advising
ARTICLE 5- (1) Student advising comprises duties and services such as assisting students in planning their own education, guiding them on academic, social and cultural matters, and helping to create a suitable environment for the development of the student's personality as a whole in its intellectual, social and emotional aspects.
Duties of Faculty Deans/School Directors
ARTICLE 6- (1) To carry out the necessary work and take the necessary measures to resolve issues relating to advising.
(2) At the end of each academic year, to evaluate at the faculty academic board the findings of the "Board of Advisors Report" submitted by the department/program chairs, and to report the outcome to the Rectorate.
Duties of Department/Program Chairs
ARTICLE 7- (1) To appoint the advisors at the beginning of each academic year,
(2) To resolve the problems reported by the advisors in the department,
(3) To supervise the work of the advisors so that advising services are provided in accordance with the Directive, and to ensure the effective functioning of the advising service,
(4) To chair the Board of Advisors and to submit to the faculty/school administration the report prepared for the resolution of the problems identified by the Board of Advisors,
(5) To ensure that the consultation hours set by the advisors are announced to students.
Duties of the Board of Advisors
ARTICLE 8- (1) The Board of Advisors consists of the advisors in the department/program and is chaired by the department chair in faculties and by the director in schools; it convenes at least once before course registration each year/semester and exchanges information on advising services.
(2) At the end of each academic year, it prepares a report containing the problems and recommendations relating to advising services for submission to the faculty dean's office/school directorate.
Appointment of Advisors and Term of Office
ARTICLE 9- (1) The advisor is appointed by the relevant department/program chair in faculties and schools no later than one week before the students' course registration dates. Where necessary, the appointment of an advisor may be changed by the same procedure.
(2) The duties of a member of the teaching staff appointed as an advisor continue until the students they advise graduate. Upon a student's graduation or the termination of their affiliation, the advisor submits these files to the Department/Program Chair.
(3) An advisor whose advising duty has ended is required to hand over the student file to the next appointed advisor.
Duties of the Advisor
ARTICLE 10- (1) To be available in their office throughout the course registration, add-drop and course withdrawal periods at the beginning of each academic year/semester; to transfer this duty to another member of the teaching staff with the approval of the department/program chair when unable to be available due to a valid excuse, and to announce this to students at least one day before the course registration, add-drop and course withdrawal dates of that year/semester,
(2) To inform students about the University, the faculty/school and the department/program,
(3) To guide students on alternative professions and career planning available to them upon graduation from their department,
(4) To inform students about courses and assist them in course selection,
(5) To inform students about the University's relevant regulations and directives,
(6) To monitor students' academic performance and, in the event of failure, to investigate the causes of failure and seek solutions,
(7) To inform the department/program chairs about students' unresolved problems,
(8) Where deemed necessary, to refer students to the Guidance and Psychological Counseling Center within the University so that they may receive guidance and psychological counseling services,
(9) To attend the Board of Advisors,
(10) During the course registration, add-drop and course withdrawal dates of each academic year/semester, to finalize students' course registrations by approving the courses they have registered for, added, dropped or withdrawn from, provided that these comply with the Istanbul Sabahattin Zaim University Undergraduate Education and Instruction Regulation, to provide the relevant documents in writing to the Department of Student Affairs and to the student, and to keep them in the student's own file.
(11) Advisors create a file for each student. This file contains information about the student, the academic progress tracking form, the transcript, and the course registration forms showing the courses registered each semester under the guidance of the advisor. If there is any change in the student's information, the information in the file is updated.
(12) In cooperation with the relevant units of the University, the advisor endeavors to instill in students the habit of lifelong learning, to contribute to their intellectual and cultural development, and to prepare the opportunities and environments needed for this purpose.
(13) In departments that require an internship, to assist students in finding internship placements. To inform students about exchange programs and study opportunities abroad.
Duties of Students
ARTICLE 11- (1) To be informed about the University's relevant regulations and directives concerning their rights and responsibilities and to act in accordance with them,
(2) To observe the announced consultation days and hours and to share their concerns with their advisor during the designated hours,
(3) During the course registration, add-drop and course withdrawal dates of each academic year/semester, to select, add, drop and withdraw from courses in accordance with the Istanbul Sabahattin Zaim University Undergraduate Education and Instruction Regulation, and to ensure that the courses selected, added, dropped or withdrawn from are determined in person (face to face) together with the advisor and finalized.
PART THREE
Final Provisions
Matters Not Covered
ARTICLE 12- (1) In matters not covered by this Directive, the provisions of the relevant legislation and the decisions of the Council of Higher Education and the Senate apply.
Entry into Force
ARTICLE 13- (1) This Directive enters into force on the date it is adopted by the Senate of Istanbul Sabahattin Zaim University.
Execution
ARTICLE 14- (1) The provisions of this Directive are executed by the Rector of Istanbul Sabahattin Zaim University.
