OUR DUTIES / ACTIVITIES
- Ensuring and coordinating the effective, efficient and orderly work of the administrative and technical staff working in the unit,
- Assisting unit managers on administrative and technical matters,
- Ensuring that procedures are carried out within the framework of the relevant legislation,
- Acting as rapporteur in the relevant unit boards,
- Ensuring that procedures such as student admission and registration, course registration, withdrawal of registration, discipline and graduation are carried out, and that examination grades are recorded accurately and properly,
- Ensuring that the unit's archive and movable property records are kept in order,
- Determining the unit's annual needs and reporting them to the relevant parties,
- Checking, initialling and submitting for approval the official correspondence of the relevant unit,
- Ensuring that procedures concerning the discipline, leave, reports, personnel records and similar matters of the unit's staff are carried out,
- Planning and coordinating the in-service training of the unit's staff and ensuring its implementation,
- Performing and ensuring the performance of other tasks assigned by unit managers,
- Attending seminars, meetings and training sessions related to professional development.
The unit secretary, who plays an important role in ensuring that the unit's services are carried out accurately and effectively within the framework of the applicable legislation, is expected to have complete and adequate administrative and legal knowledge in their area of duty; to exercise the utmost care and diligence in performing their duties; to work harmoniously with colleagues and to be respectful, courteous and friendly in interpersonal relations; to provide the necessary explanations to authorities and interested parties in a clear manner; to ensure that all procedures are fully recorded and to take the measures required for their preservation; to maintain confidentiality and to possess a sense of belonging and responsibility; to be careful, diligent and honest in their work and open to continuous development and innovation; to train their subordinates; to adopt and uphold the institutional culture; and to comply with moral and ethical rules, the institution's quality principles, the work programme and strategic plans.
