Frequently Asked Questions

Students enrolled in graduate programs are required to use only their "std.izu.edu.tr" e-mail address for support and information requests. Requests for information sent from personal e-mail addresses will not be answered.

Emails sent from a "std.izu.edu.tr" e-mail address must also include the student number or national ID number, full name, and program name. Emails from students missing this information will not be answered.

All notifications sent to the e-mail address assigned to you by our University are considered official notices. Therefore, you must use your e-mail account and check it regularly.

- Students must have attended 70% of classes in order to be eligible to take exams.

  • In the presence of justified and valid reasons, and upon the recommendation of the relevant department chairmanship and decision of the institute's administrative board, master's students may take a leave of absence for a maximum of two semesters, and doctoral students for a maximum of four semesters, throughout their studies.

  • For a justified and valid reason to be accepted, it must be reported to the institute directorate within one month at the latest from when the reason arose. Leave of absence applications may be made at the beginning of the semester and within one month at the latest from the completion of registration procedures. The semester during which a student's registration is suspended is not counted toward their period of study. The leave of absence process may be repeated in the same manner.

  • A student who wishes to withdraw from the University at their own request applies to the relevant institute directorate with a petition and a clearance form.
  • Withdrawal cannot be processed by mail. The student's personal written application is required. However, in special cases and provided financial obligations have been fulfilled, a proxy designated by the student via a notary may withdraw the student's registration from the University.

Refunds and/or deductions of the tuition fee paid to İZÜ by a STUDENT who withdraws are made as specified below:

  • For a student who withdraws before the course start date specified in the academic calendar, any value-added tax paid to the state due to invoice(s) issued for the tuition fee is offset/collected, and the remaining amount is refunded or cancelled.
  • For a student who withdraws within the first two (2) weeks of the first semester, a 15% deduction is made from the tuition fee.
  • For a student who withdraws after the first two (2) weeks of the first semester, a deduction is made from the tuition fee at the rates specified in the table below.

- The validity period of the ALES Score is 5 years.

- Appeals against exam grades must be submitted by the student to the institute directorate with a petition within five days following the announcement of exam grades.

- A student who has previously studied at a higher education institution whose equivalence has been recognized by YÖK must submit the original transcript and course content for the courses taken and passed at that institution to the relevant department chairmanship, and then submit a course exemption request through the campus information system.

- The student must submit the exemption request within five days at the latest from the start of classes in the first semester in which they registered at the University.

- Exemption requests made in subsequent semesters, or requests to cancel exemption/adaptation transactions already made, are not accepted.

-No fee refund/discount is given for exempted courses (except for courses taken at İZÜ). However, the fees for course(s) exempted in Scientific Preparatory Programs are deducted from the tuition fees of the master's/doctoral program.

- The maximum duration of the scientific preparatory program is two semesters.

- Summer school is not included in this period. This period cannot be extended except for a leave of absence, and a student who is not successful by the end of this period is dismissed.

- The time spent in this program is not included in the duration of the master's or doctoral program.

- No fee refund is given if a student who has taken courses within the Scientific Preparatory Program withdraws from the University.

- In graduate programs, theses are written in Turkish or English for Turkish-medium programs;

- In Turkish or the relevant language for partially foreign-language programs,

- In the language of instruction for fully foreign-language programs.

-Military service deferral is processed for every student who submits a Military Status Document, dated within the last month and showing the deferral date, to the relevant Institute at the time of registration for a Graduate Program.

-The deferral period for Doctoral Programs is 6 years,

-The deferral period for Thesis Master's Programs is 3 years 4 months,

-The deferral period for Non-Thesis Master's Programs is 1.5 years,

as applied.

Note:

  • Military Service Deferral is not processed for those who have previously graduated from any graduate program at the same level.
  • Deferrals for students enrolled in Graduate Programs are processed up to a maximum age of 35.
  • Deferral is not processed for students who exceed the maximum duration of their enrolled program.

-The leave-of-absence period of students whose registration is suspended by the relevant Institute Administrative Board is added to their maximum student duration, and military service deferral is processed for students during these periods as well.

-With regard to military service deferral, leave-of-absence periods may under no circumstances exceed 1 year for master's programs and 2 years for doctoral programs.

-Deferrals for those who graduate from Master's Programs are extended by the Military Recruitment Offices for 1 year from the date of graduation.

-Graduates who wish to benefit from this right must apply to the relevant Military Recruitment Office with their graduation documents.

-There is no legal possibility for graduates of Doctoral Programs to obtain a deferral due to graduation. They are conscripted in the first call-up period.

-You must initiate the clearance process from the Clearance section of the Campus Information System, and it must be approved by the relevant units. Afterward, print the document confirming approval by the units, found at the bottom of the approval detail page, sign it, and apply to the Institute Secretariat with this document to receive your diploma.

Note: Those who have received a Temporary Graduation Certificate must return the original of this document when receiving their diploma. The Temporary Graduation Certificate has not been issued since the 2020-2021 Spring semester. Graduation certificates are obtained via e-Government.

- A student who cannot successfully complete their enrolled program within the normal period of study may request an extension in subsequent semester(s) by paying the single-course fee determined by İZÜ for the relevant semester and applying with a petition to the relevant Institute Directorate.

-The duration of the thesis master's program, excluding the time spent in the scientific preparatory program, is four semesters starting from the semester in which courses for the enrolled program are offered, regardless of whether the student registers each semester, and the program is completed within a maximum of six semesters.

  • The thesis advisor must be determined by the end of the first semester at the latest.

     
  • An advisor change may be made upon the written application of the student and/or advisor to the institute, based on the recommendation of the department chairmanship and approval of the institute administrative board. The approval of the new advisor is required for an advisor change.

- Thesis Master's Program: Successfully complete coursework and seminar, have a weighted CGPA of 2.50 or above, and pass the thesis defense,

-A student enrolled in a Thesis Master's Program must fulfill at least one of the following requirements to graduate.

  1. A paper presented at a national or international scientific conference,
  2. An article published, accepted for publication, or assigned a DOI number in a peer-reviewed/indexed journal,
  3. A paper presented at a symposium organized by İZÜ in the Social Sciences/Sciences fields.

-The student must submit the thesis title, determined together with their advisor, along with the thesis proposal, to the Institute by the end of the second semester at the latest.

-The duration for completing the non-thesis master's program, excluding the time spent in the scientific preparatory program, is a minimum of two semesters and a maximum of three semesters, starting from the semester in which courses for the enrolled program are offered, regardless of whether the student registers each semester.

  • The project advisor must be determined by the end of the first semester at the latest.

  • An advisor change may be made upon the written application of the student and/or advisor to the institute, based on the recommendation of the department chairmanship and approval of the institute administrative board. Approval of both the previous and new advisor is required for an advisor change.

- Non-Thesis Master's Program: Successfully complete coursework and the term project, and have a weighted CGPA of 2.50 or above,
 

- Graduates of Non-Thesis Master's Programs cannot apply to Doctoral Programs. However, students who were enrolled in or graduated from non-thesis master's programs before 6/2/2013 may apply to doctoral programs.

-Excluding time spent in the scientific preparatory program, for those admitted with a thesis master's degree, the duration is eight semesters, with a maximum completion period of twelve semesters, starting from the semester in which courses for the enrolled program are offered, regardless of whether the student registers each semester; for those admitted with an undergraduate degree, the duration is ten semesters, with a maximum completion period of fourteen semesters

- The thesis advisor must be determined by the end of the second semester at the latest.

-An advisor change may be made upon the written application of the student and/or advisor to the institute, based on the recommendation of the department chairmanship and approval of the institute administrative board. The approval of the new advisor is required for an advisor change.

-Successfully complete coursework and seminar, have a weighted CGPA of at least 3.0, and pass the thesis defense,

-A student enrolled in a Doctoral Program must fulfill at least one of the following requirements to graduate.

  1. Two papers presented at national or international scientific conferences,
  2. An article published, accepted for publication, or assigned a DOI number in a peer-reviewed/indexed journal,
  3. Two papers presented at symposia organized by İZÜ in the Social Sciences/Sciences fields.
-A student admitted with a master's degree must take the qualifying exam by the end of the fifth semester at the latest; a student admitted with an undergraduate degree must take it by the end of the seventh semester at the latest.
 

-A student who fails the Doctoral Qualifying Exam is retested in the following semester on the section(s) they failed. A student who also fails this exam is dismissed from the doctoral program.

-A student who successfully passes the doctoral qualifying exam must, within six months at the latest, orally defend their thesis proposal covering the purpose, methodology, and work plan of the research they will conduct, before the thesis monitoring committee. The student must distribute a written report on the thesis proposal to the committee members at least fifteen days before the oral defense.
-A period of one month is given for revision.

-For a student whose thesis proposal has been accepted, the thesis monitoring committee meets twice a year.

-The student submits a written report to the committee members at least one month before the meeting date. This report summarizes the work completed to date and outlines the work plan for the next period. The student's thesis progress is determined by the committee as either successful or unsuccessful. A student found unsuccessful by the committee twice in a row, or three times intermittently, is dismissed from the University.

- For the student's thesis to be finalized, at least three successful thesis monitoring committee reports, each submitted at intervals of no more than six months, are required. If thesis monitoring procedures are not carried out on time, the student is considered unsuccessful for that period's thesis monitoring result.

-A student whose thesis proposal is rejected has the right to choose a new advisor and/or thesis topic. In this case, a new thesis monitoring committee may be assigned. A student who wishes to continue with the same advisor is retested at the proposal defense within three months, while a student who changes advisor and thesis topic is retested within six months. A student whose thesis proposal is also rejected at this defense is dismissed from the University. The time spent in these stages is counted toward the student's doctoral study period.

-A student who, without a valid excuse, does not attend the thesis proposal defense within six months at the latest from the doctoral qualifying exam is considered unsuccessful and their thesis proposal is rejected.

-A student whose thesis proposal is rejected has the right to choose a new advisor and/or thesis topic. In this case, a new thesis monitoring committee may be assigned. A student who wishes to continue with the same advisor is retested at the proposal defense within three months, while a student who changes advisor and thesis topic is retested within six months. A student whose thesis proposal is also rejected at this defense is dismissed from the University. The time spent in these stages is counted toward the student's doctoral study period.

1- For a student found successful in the Doctoral Qualifying Exam, a Thesis Monitoring Committee is assigned by the relevant Department Chairmanship within one month. The members of the Thesis Monitoring Committee, approved by the Institute Administrative Board, are notified to the student by the Institute Secretariat.

2- A student who successfully completes the doctoral qualifying exam must, within six months at the latest, orally defend their thesis proposal—covering the purpose, methodology, and work plan of the research they will conduct—(click here for the Thesis Proposal Writing Guide) before the Thesis Monitoring Committee. The student distributes a written report on the thesis proposal to committee members at least fifteen days before the oral defense.

3- The Thesis Monitoring Committee decides by simple majority to accept, request revision of, or reject the thesis proposal submitted by the student. One month is given for revision. At the end of this period, the decision made by simple majority to accept or reject is reported with minutes to the Institute by the Department Chairmanship within three days following the completion of the process.(Click here for the Doctoral Thesis Proposal Defense Minutes Form)

 

4- A student whose thesis proposal is rejected has the right to choose a new advisor and/or thesis topic. In this case, a new Thesis Monitoring Committee may be assigned. A student who wishes to continue with the same advisor is retested at the proposal defense within three months, while a student who changes advisor and thesis topic is retested within six months. A student whose thesis proposal is also rejected at this defense is dismissed from the University.

5- A student who, without a valid excuse, does not attend the thesis proposal defense is considered unsuccessful and their thesis proposal is rejected. Article 4 applies to a student whose thesis proposal is rejected.

6- A student whose thesis proposal has been accepted must submit to the Institute Secretariat at least three successful Thesis Monitoring Committee reports (at six-month intervals) in order for their thesis to be finalized. A student found unsuccessful by the committee twice in a row, or three times in total, is dismissed from the University.
