Candidates selected by decision of the University Erasmus+ Commission are issued a letter of selection by the Erasmus+ Institutional Coordination Office. The pre-mobility process for the selected staff member then begins.

Selected staff members are deemed to be on official leave for the duration of the mobility.

1-Letter of Invitation
Academic staff wishing to apply to benefit from Erasmus+ Staff Mobility must obtain a Letter of Invitation from a higher education institution holding an Erasmus Charter for Higher Education (ECHE) in a programme country with which our University has an Erasmus agreement and at which they will complete their mobility.

The Letter of Invitation, to be prepared on the institution's letterhead, must include the following information:

  • The Letter of Invitation must clearly state that a teaching mobility activity (Erasmus+ Staff Mobility for Teaching) will be carried out.
  • The location where the Staff Mobility for Teaching will take place must be specified. For example, it must clearly state that the mobility will take place at Faculty D of University C, located in city B of country A.
  • The duration of the mobility must be specified. For Erasmus+ Staff Mobility, the activity period is a minimum of 2 working days and a maximum of 5 days, excluding travel; where the staff member receives a grant, the grant is calculated over a maximum of 5 days. The start and end dates of the mobility must be clearly stated in the Letter of Invitation as (dd/mm/yyyy - dd/mm/yyyy).
  • The Letter of Invitation prepared by the relevant contact person at the institution where the Erasmus+ Staff Mobility activity will take place must bear the date of issue, a signature and a stamp.

2-Staff Mobility Agreement for Teaching
Academic or administrative staff declare the activities they will carry out at the host institution during the Erasmus+ Staff Mobility by completing a Teaching Mobility Agreement in English.

  • When the Teaching Mobility Agreement is completed, the courses the staff member will teach at the host institution during the mobility and their duration must be specified day by day and hour by hour.
  • Once the staff member has completed all the required information on the document, they sign it and submit it for the signature of the Erasmus+ Institutional Coordinator. After the eligibility of the mobility activity has been approved by the Erasmus+ Institutional Coordinator, the document is signed by the authorised person at the host institution..
  • The document in question must be submitted to the Erasmus+ Institutional Coordination Office before the mobility.

3-Grant Letter (Visa Letter / Grant Letter)
The amount of the grant to be received by the staff member is calculated by the Erasmus+ Institutional Coordination Office according to the country of destination and the duration of the stay. It is issued to the participant in both Turkish and English for use in their visa application.

  • The type of activity,
  • The duration of the activity,
  • The host institution and country
  • It states the total grant to be provided if the mobility is completed successfully. It is signed by the Erasmus+ Institutional Coordinator.

4-Euro Account Information Form and Euro Account Passbook
The grant provided to the participant is paid in EURO through a bank. Staff members must complete the Euro Account Information form and submit it to the Erasmus+ Institutional Coordination Office together with a photocopy of their Euro account passbook.
 

5- Grant Agreement

Once the above documents have been submitted, the staff member signs a grant agreement prepared by the Erasmus Institutional Coordination Office. If the staff member receives a grant, the amount to be paid varies according to the country of destination, the travel distance and the duration of the mobility stated in the Letter of Invitation. In cases such as refusal or failure to sign the agreement, the staff member's participation in the mobility is cancelled. All eligible staff, including "Zero Grant" staff, are required to sign the Grant Agreement. A copy of the grant agreement is given to the participant.

Staff members whose Erasmus+ Staff Mobility application has been successful are obliged to complete their visa procedures before starting their mobility.

The Erasmus+ Institutional Coordination Office is not responsible for the rejection of a visa application for any reason. Making visa and passport applications is entirely the responsibility of the staff member. As the visa procedure differs from country to country, please consult the official consulate website of your country of destination for the necessary information. Since visa procedures may take a long time depending on the country of destination, it is recommended that you submit your visa application 6-8 weeks before the start date of the mobility.

Within 1 month of the grant agreement being signed by the staff member and the Erasmus+ Institutional Coordinator, 80% of the total grant is transferred to the staff member's Euro account.
